Description

Duties & Responsibilities

•    Serves visitors by greeting, welcoming, and directing them appropriately
•    Direct visitors to the appropriate person and department
•    Notifies company personnel of visitor arrival
•    Be proficient in telephone communication, including assisting customers over the phone with their immediate needs or assessing those needs and being able to transfer those calls to the appropriate agency employees. Answer, screen and forward incoming phone calls
•    Managing the administrative works with regard to collateral securities including receiving, recording, scanning, filing, and releasing as per set procedures. Ensuring that the clients are informed on time regarding the collaterals.
•    Ensure policy and related documentations are discarded as per set procedures
•    Assist in the policy cancellation process by liaising with the accounts department and the underwriting & customer service department
•    Handling customer concerns via telephone, email, or in person and reporting to Top Management for dispute resolution as per set procedures
•    Issuing policies and related documents to customers as per set procedures
•    Maintaining Client, Brokers and Agents contact addresses list and updating as required
•    Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
•    Provide basic and accurate information in-person and via phone/email
•    Receive, sort and distribute daily mail/deliveries
•    Update calendars and schedule meetings
•    Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing as instructed by the manager
•    Any other ad hoc administrative works as instructed by the manager
•    Ensuring the received polices are entered daily in a way that no data concerning the received documents are missed.
•    Receiving of agreements related to bonds, thorough check of the required stamps and signatures. Filing the agreements and sorting them accordingly. Placing in the safe if and when required.
•    Willingness to participate in ongoing trainings
•    Support all initiatives as requested, guided by company values, sales culture and business needs
•    Understands organizational objectives, supports process improvements and provides feedback to leadership
•    Assist with department management using strong communication
•    Establish and maintain effective relationships with carriers, clients, underwriters, accounts and sales.
•    Self motivated to study and learn about various insurances while maintaining a normal workload at office
