Main Duties and Responsibilities
• Monitor the secretarial support provided by the Registration Department to all the relevant Academic Senate committees under the guidance by the Registrar. This includes ensuring that;
o the committee meeting dates are calendared annually and approved by the members
o the committee records are maintained and shared with the members of the relevant committees and the Senate Secretariat as per the Guideline for Administration of Committees
o confidentiality of the committee discussions and decisions are maintained
o the committee decisions are communicated with the relevant parties on a timely manner
o the annual reports of the committees compiled and shared with the members and the Academic Senate after the end of each year
• Assist the Registrar in preparing the department plan, annual plan and annual budget in-line with the Strategic Plan of the College and its effective implementation
• Compile and draft the department annual report at the end of each year
• Compile and prepare annual statistics required by the Ministry of Higher Education and other government authorities
• Draft policies and procedures related to the key functions of the department under the guidance by the Registrar
• Manage and monitor all administrative works of the department. This includes proper maintenance of data, records and filing system
• Actively participate in organizing the new students’ orientations (O-Week), graduation and awards ceremonies
• Attend to day-to-day tasks related to the department and other ad-hoc tasks assigned by the Registrar
• Participate and contribute to marketing events and activities of the College
