CORE RESPONSIBILITIES
• Providing administrative support to the faculty
• Prepare the attendance sheets for the class
• Stay on call throughout the assigned class
• Prepare student’s attendance reports
• To file the processed entries and correspondence related to the faculty
• Make requests for stationeries and provide the stationeries to all employees of the faculty as needed
• To answer phone calls.
• Re-direct calls as appropriate and take messages
• Receive and deliver letters / paper bundles and mails
• To provide the right information to students and other customers.
• To be informed and be updated with the program updates
• To prepare/draft documents such as letter, reports, minutes, and messages.
• Ensure that the faculty is always clean, hygienic and organized and hospitable to students and lecturers at all times
• Attend the necessary training sessions when invited
• Report any damages/maintenance work of FET
• To develop, draft, and prepare routine documents for correspondence.
• To maintain stock of the faculty
• To prepare requisition forms and purchase orders if required
• To print or duplicate course materials and other faculty documents. (all campuses)
• All campuses preparation and printing and packaging of material
• Registration of students during registration days.
• To ensure there is always ample letter heads and other printing materials available (including cartridges) and make certain that the printers are filled with paper
• To help and participate in events of the college when needed
• To maintain staff and student notice boards.
• To maintain and take care of the resources of the faculty and the college.
• To assist in typing and revising documents.
• Preparation of moderation kit for each semester
• Extra class arrangements or cancellation of classes
• Collection of assignments from the reception box and handing it over to respected lecturers
• Printing of block assignments and handing it over to respected lecturers
• Attending to Saturdays’ duty
• Exam paper distribution and collection from lecturers
• Past semesters packing of papers and assignments
• Prepare pay sheet for lecturer exam paper and assignment marking
• Assignment extension form handovers and making copies
• Sending Lecturer details to HR every semester
• Prepare mark sheet, finalize it and report to the Faculty Head
• Register students and develop FET students list.
• Other ad hoc tasks assigned by the faculty/college.
• Maintain student records / retention / progress status
• Should be accountable for faculty equipment’s and maintain records and confidentiality of the students.
• Not to breach any rules and policy of the VC and faculty
• Complete assigned work successfully; meet deadlines and carryout tasks according to job description.
1. Administration
• Provide full admin support to the lecturers/coordinators and department
• Perform data-entry, documentation, printing, mark sheets, timetable, block schedule, packing and filling duties
• Maintain a proper and user-friendly filling and document control system for recording and tracking of all documents
• Assist the department to maintain a proper attendance and tracking report for the head and assist on any ad-hoc tasks as required by the department
• Maintain confidential records and files and maintain records of decisions
• Research and assist with the preparation of policies and procedures
• Prepare documents and reports, schedule meetings, write minutes and prepare agendas for meeting
• Coordinate and be responsible to all admin related activities of FET
• Timely, accurate and courteous response from the Manager to concerned matters.
• Lecturers/Coordinators feedback
• Feedback from other related department like registration, exam office, finance.
2. Communication and Customer service
• Display respectful behavior to part-time lecturers and colleagues in accordance with the college policy
• Assist with enquiries and visitors
• Demonstrate respect for people and a sensitivity to their values and differences –

• Lecturers and manager report that respectful behavior is consistently displayed
• Timely, accurate and courteous response to telephone and face to face enquires and e-mails
